Q.16       Write Steps to print Handouts/Notes page of a Presentation.


  1. Open Print Preview: Click the Microsoft Office Button and run your mouse over the Print button. The Print Menu will appear to the right. From this menu, click the Print Preview button. Once you open Print Preview, a ribbon with Heading Print Preview appears.
  2. View the Print Options: Under the Print Setup heading, click the arrow to open the menu under the option Print What:. In this menu, your print options will show up. These options include: Slides, Handouts, Notes Pages and Outline View.
  3. Printing Handouts: With the Handouts option, you have the choice of printing 1-9 slides per page. Printing Notes Pages: The Notes Pages option will print out each slide with your personal notes

Use the mouse to select the number of rows and columns that you want.

Select Insert Table, and then enter a number in the Number of columns and Number of rows lists.

To add text to the table cells, click a cell, and then enter your text. After you enter your text, click outside the table

Q.17       Illustrate the use of Header and Footer in your document.

Ans.  The header is a section of the document that appears in the top margin, while the footer is a section of the document that appears in the bottom margin. Headers and footers generally contain information such as the page number, date, and document name, an author name, a graphic, a draft or revision number they appear on every page of the document with same value or related changes like page number etc which help at the time of printing documents.

Q.20       Write two features of calendar software of an email messaging software.

Ans.   Calendaring software will contain one or more of the following features: (any 2)

Calendar – a calendar showing dates and days of the week.

Address book-a list of contacts with information to enable the user to communicate with the contacts

Appointment attachments – This feature allow users to attach a file to an appointment. If the appointment includes other participants, the attachment is shared with them.

Appointment calendar – a list of appointments and the attendees for the appointments.

Appointment reminders – Automatically reminds participants of an upcoming Meetings.

Availability sharing – this feature allows users to share their availability with others

Availability and capacity checking – Check the availability of all other employee and resource calendars in the group.

Calendar publishing – some calendaring tools allow the user to publish select calendar information on a public link

Calendar exporting – Users are allowed to export selected calendars into various file formats, including Calendar standard.

Collaborative scheduling – the capability of the software to check schedules and propose meeting times to all of the participants.

Customization – This feature allow users to customize several available features such as: email appointment remainders, calendar.viewing default, workweek and work hours display, etc.

E-mail – an electronic mail communication system. This can be tied into the appointment calendar to send reminders and notify the participants of issues arising with scheduled meetings.

Q.21       What is an advantage of using document template? Write steps to use a document template.

Ans.  Advantages of Document Template

Steps to use a Document template

  1. Click on Office Button and select New
  2. From the New Document Dialog box select My templates for using your own templates or Installed templates for using Microsoft inbuilt templates.
  3. After your selection click on create to work on selected templates.

Q.22       What are Clip Arts? Differentiate between Linking and Embedding an object.

Ans.  Clip Arts –

Clip art is a collection of pictures or images that can be imported into a document or another program. The images may be either raster graphics or vector graphics. Most clip art is royalty free, meaning you can use the images without paying royalties to the creators of the images.

Difference –

Embedding an object in the media item places a copy of the original object (Word document, image file, etc.) into the database. When the original document/object have some changed it never effects the Embedded Contents.

Linking to an object-

In Linking, when adding a media object adds a path to the original object, instead of embedding a copy of the object in the database. When the original document/object have some changed it directly effects the Linked Contents

Q.23       Aadya is working on a spreadsheet. Help her with the solutions for the following:

  1. Identity the following symbol/toolbar: Ƹ
  2. Renaming a worksheet from sheet 1 to Cost Sheet
  3. To keep the headings constant/visible even if she scrolls down.

Ans.  (a) Ƹ symbol(AUTOSUM) default perform sum of the selected range. The drop down attached with it contains other function of the excel(sum, average, count, max etc)

(b) from the WORKSHEET TAB Right click on SHEET 1 and select RENAME, type COST SHEET and press enter to confirm the changes

(c) Use FREEZE PANE on the next row of the heading which need to appear constantly

Q.24       Ridhan is preparing a digital presentation. Help him with the solutions for the following tasks:

  1. Which option he shall use to make the presentation dynamic and add graphics and text to it?
  2. He wants to move all the images/objects together on the same slide.
  3. Which option he shall use to keep guided text used by presenter? These notes should not appear to the audience during presentation.
