Sir,

You will remember from your records that you sent us a consignment of electrical goods (bulb, holders, sockets, etc.) worth Rs. 15,000 (Fifteen thousand only) as per your invoice dt. 21, Oct., 20…..

On sale of the items many complaints have been received from our customers about defective manufacture. Many holders and sockets do not conform to the general standards laid down for size. A number of them have also broken a few days after use.

Shall we return the balance of the defective goods and adjust the payment against your bill amount of Rs. 15,000?

Yours sincerely,

Ramesh Kumar

Dear Mr. Kumar,

I have received your letter dated complaining about the electrical goods we supplied to you.

Usually we dispatch only those items which have passed strict quality control specifications. It seems that owing to some oversight the materials lying in the rejected boxes were dispatched by our staff. I regret and apologize for the inconvenience caused to you.

Kindly return the defective items so that we may replace them with newly manufactured and approved ones. You may deduct the freight charges incurred on you.

With best wishes, assuring you of our best service in future.

Yours sincerely,

Anil Kapoor
